CAREGIVER APP PRIVACY POLICY
What the app records, and when.

This policy covers the MapleCare Caregiver mobile app for Android and iOS. It describes how MapleCare, Inc. (“MapleCare,” “we,” “us”) handles information collected through that app.

1. Who this is for
The MapleCare Caregiver app is a workforce tool for care workers employed by home care agencies. You use it to record when you start and finish a client visit. It is not a consumer app and is not offered to the general public — an account only works if your agency has already registered you as a caregiver.
Your employing agency decides what visit records it needs and how long it keeps them. We provide the software that captures them.
2. What we collect
- Account information. Your work email address and password, plus the caregiver profile your agency holds for you — your name, and the agency you work for. We receive this from your employing agency; you do not create it yourself.
- Precise location, only at the moment you clock in or clock out. When you tap Clock In or Clock Out, the app takes a single location reading and sends it with that punch. We record the latitude, longitude, and the accuracy of the reading in metres.
- Whether the location reading was simulated. Android tells us if a location came from a fake-GPS app rather than from real satellite or network positioning. We record that flag with the punch, because a visit record that can be faked is not a visit record.
- Basic device information. The operating system (Android or iOS) and the version of the app that recorded each punch.
- Visit and schedule information. The shifts assigned to you, and the times you clocked in and out.
We do not collect device identifiers, advertising IDs, phone numbers, contacts, photos, files, your microphone, or your device's contents.
3. The app does not track you in the background
The app does not follow your movements between visits and does not record your location at any other time. It has no ability to do so: the permissions that would allow background location tracking are not included in this version of the app.
Your phone will only ever offer you “while using the app” access. If you are ever shown an “allow all the time” option, it did not come from this app.
4. Why we collect it
Solely to create and verify visit records for the home care agency that employs you. Electronic Visit Verification requires a record of who provided care, to whom, what service, where, and when it began and ended. Location at clock-in and clock-out is what establishes the “where.”
We do not use your data for advertising, we do not sell or rent it, we do not share it with data brokers, and we do not use it to build profiles or for automated decision-making about you.
5. Who we share it with
- Your employing agency. Your visit records belong to the agency that employs you, and are visible to that agency's office staff. This is the entire purpose of the app.
- Service providers who host the system on our behalf, bound by contract to use the data only to run the service.
- When the law requires it, or where an agency must produce records to a payer, regulator, or auditor as part of its own obligations.
6. How it is protected
All data is encrypted in transit using HTTPS. Your login credentials are never stored on the device; the app holds short-lived access tokens in the operating system's encrypted keystore (Android Keystore / iOS Keychain). Access to agency records is scoped so caregivers see only their own shifts, and each agency sees only its own data.
If you record a punch while offline, it is stored on your device and sent when a connection returns. It is removed from the device once delivered.
7. How long it is kept
Visit records are retained by your agency for as long as its own regulatory and payer obligations require — commonly several years. Because these records document delivered care and may be needed for audit, MapleCare cannot unilaterally delete them.
8. Your choices and rights
Location permission can be refused or revoked at any time in your phone's settings. Clock-in and clock-out will then be unable to record a location, and your agency may not be able to verify the visit — so refusing it may prevent you from using the app for its purpose.
Access, correction, or deletion. Your visit records are held by your employing agency, so start with them. You can also contact us at hello@maplecare.ai and we will work with your agency to respond. Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your data, and to complain to a data protection authority.
Account deletion. Contact hello@maplecare.ai or your agency's office. Deleting your account removes your ability to sign in; visit records already created are retained by the agency under the retention rules above.
9. Children
The app is a workplace tool for employed care workers. It is not directed to children and we do not knowingly collect data from anyone under 16.
10. Changes to this policy
If we change this policy we will update the “Last updated” date above and, where the change is significant, notify you in the app.
